QR Codes for Events — Tickets, Check-In, Networking, and Feedback
Use QR codes for event ticketing, fast check-in, attendee networking, session feedback, and post-event engagement.
QR codes streamline every stage of event management — from ticket distribution to post-event follow-up. Here's how to implement them across your event workflow with QRMax.
Event QR Code Applications
| Stage | Use Case | QR Type |
|---|---|---|
| Pre-event | E-ticket with unique QR | Dynamic (unique per attendee) |
| Arrival | Fast check-in scanning | Dynamic (linked to registration) |
| During event | Session schedule / map | Dynamic URL |
| During event | WiFi access | Static WiFi |
| During event | Speaker slides / resources | Dynamic URL |
| Networking | Digital business card exchange | Static vCard |
| Feedback | Session rating form | Dynamic URL |
| Post-event | Recordings and materials | Dynamic URL |
Ticketing and Check-In
Generate unique QR codes for each ticket using bulk QR generation:
- Export your attendee list as CSV
- Generate a unique QR code per attendee via QRMax
- Send each attendee their unique QR code via email
- At the venue, scan codes with the QRMax app to mark attendance
Session and Venue Navigation
Place QR codes on signage throughout the venue:
| Location | Links To |
|---|---|
| Registration desk | Full event schedule |
| Session room entrance | Session details, speaker bio |
| Hallway signage | Venue map with room locations |
| Sponsor booth | Sponsor website, special offer |
| Food/beverage area | Menu, dietary info, allergen guide |
Networking
Print QR codes on attendee badges that link to their digital profile or LinkedIn. When two attendees want to connect, they scan each other's badge instead of exchanging paper cards.
For conference organizers, create a networking app page where scanning a badge adds the contact to the attendee's personal connection list within the event platform.
Speaker Resources
Speakers can display a QR code on their final slide linking to:
- Slide deck download (host the PDF and link to it; use MyPDF if you need to convert or compress the deck)
- Additional resources and references
- Speaker contact information
- Feedback survey for the session
Post-Event Engagement
After the event, the same QR codes can be redirected (since they're dynamic) to:
- Session recordings and videos
- Photo gallery
- Post-event survey
- Early bird registration for next year's event
- Community or Slack invite link
How many unique QR codes do I need for an event?
One per attendee for ticketing/check-in, plus shared codes for venue signage (schedule, WiFi, maps). A 500-person event typically needs 500 unique + 10-20 shared codes.
Can QR codes prevent ticket fraud?
Yes. Each ticket has a unique QR code that can only be scanned once. Once checked in, the code is marked as used and can't be re-scanned. This prevents screenshot sharing and duplication.
Should I use printed or digital badges?
Digital badges (QR code on phone screen) save printing costs but drain attendee phone batteries. Printed badges with embedded QR codes are more practical for multi-day events.
