How to Do Group Booking on IRCTC (6+ Passengers)
Book train tickets for large groups on Indian Railways. IRCTC group booking rules, multiple PNR strategy, and tips for keeping groups together.
Organizing train travel for a large group — a family wedding, college trip, office outing, or pilgrimage — means dealing with IRCTC's passenger limits. You can only book 6 passengers per PNR in General Quota (4 in Tatkal). For groups larger than 6, you need a strategy.
Standard IRCTC Booking Limits
| Quota | Max Passengers per PNR |
|---|---|
| General | 6 |
| Tatkal | 4 |
| Premium Tatkal | 4 |
| Ladies | 6 |
Strategy 1: Multiple PNRs from Same Account
You can book multiple PNRs from the same IRCTC account for the same train and date. Just:
- Complete the first booking (6 passengers)
- Go back to the search page
- Book the next batch (6 passengers)
- Repeat until everyone is booked
Strategy 2: Multiple IRCTC Accounts
If group members have their own IRCTC accounts, each person can book simultaneously:
- Person A books 6 passengers on their account
- Person B books 6 passengers on their account
- Person C books the remaining passengers
Strategy 3: Official Group Booking Facility
For groups of 24 or more passengers, Indian Railways offers an official group booking facility through the railway zones. This is different from regular IRCTC booking.
How Official Group Booking Works
- Write an application to the Chief Commercial Manager (CCM) of the railway zone from which the train originates
- Include: group size, train preference, class, journey date, and purpose of travel
- Submit at least 30 days before the travel date (sometimes 45 days for peak season)
- The railway zone evaluates and allocates berths from a special group quota
- Payment is collected after allocation confirmation
- All passengers travel together in the same coach(es)
- Dedicated allocation — not competing with general public
- Possible fare concessions for certain categories (students, pilgrims, military)
- Bureaucratic process with paperwork
- Not always approved, especially during peak season
- Lead time of 30+ days required
Where to Apply
| Railway Zone | Headquarters |
|---|---|
| Northern Railway | New Delhi |
| Western Railway | Mumbai (Churchgate) |
| Southern Railway | Chennai |
| Eastern Railway | Kolkata |
| Central Railway | Mumbai (CST) |
| South Central Railway | Secunderabad |
Tips for Keeping the Group Together
Tip 1: Book all PNRs at the same time. When all bookings are made simultaneously (or within minutes), the system tends to allot berths from the same pool, increasing chances of being in the same or adjacent coaches. Tip 2: Choose the same class. If some people book 3A and others book SL, they'll definitely be in different coaches. Tip 3: After chart preparation, contact the TTE. Once you board, show all PNRs to the TTE and request to be accommodated together. If there are empty berths, the TTE can shuffle people around. Tip 4: Book early (120 days before). More availability means the system has more flexibility in allotting berths in the same coach. Tip 5: Consider chartering a coach. For 50+ passengers, Indian Railways offers coach chartering. You get an entire coach for your group. Contact the railway zone's commercial department.Group Travel on Rajdhani/Shatabdi
These trains have included meal charges. For group bookings, the meal count is automatically factored in. Each passenger gets a meal tray. If anyone has dietary requirements (vegetarian/non-vegetarian), specify during booking under the "Food Choice" option.
Student Group Booking
Students traveling as a group for educational tours get a concession of 25-50% (depending on the class and type of institution). Requirements:
- Minimum 20 students
- Written application from the institution head
- Submit to the Commercial Manager at least 15 days before travel
- Students must carry their student ID
- One teacher/faculty member for every 20 students gets free travel
Pilgrimage Group Booking
Pilgrimage groups to recognized holy sites get concessions. The process is similar to student groups — application through the group organizer, submitted to the railway zone.
Cancellation for Group Bookings
Each PNR follows standard cancellation rules. If one PNR needs to be cancelled (say, 4 out of 20 passengers dropped out), only that specific PNR is cancelled. Other PNRs remain unaffected.
For official group bookings (24+ through CCM), cancellation terms are specified in the allotment letter. They're usually stricter than individual cancellation policies.
Practical Example
Scenario: 15 friends traveling Delhi to Goa for a trip Step 1: One person creates a master list of all 15 names with ages and ID proof details Step 2: Using 3 IRCTC accounts, book simultaneously:- Account 1: 6 passengers (PNR #1)
- Account 2: 6 passengers (PNR #2)
- Account 3: 3 passengers (PNR #3)
Group train travel in India needs a bit more planning than individual travel, but it's absolutely doable. The key is booking early and coordinating across multiple PNRs.
