Employee Cost Calculator — Total Cost of Hiring Beyond Just Salary
Calculate the true cost of an employee including PF, gratuity, health insurance, equipment, and overheads. Know the real number before you hire.
When a candidate accepts a ₹12 LPA offer, a lot of founders think the cost is ₹12 lakhs per year. It's not. Between employer PF, gratuity provision, health insurance, equipment, software licenses, and a share of office overhead, the real cost is typically 1.25–1.5x the offered CTC. The CalcHub Employee Cost Calculator accounts for all of it so you can budget honestly.
What Goes Into Total Employee Cost
Mandatory statutory costs (India):| Component | Rate | Monthly Cost (on ₹1L gross) |
|---|---|---|
| Employee PF (employer's share) | 12% of basic salary | ~₹4,800–₹7,200 |
| Employee State Insurance (ESIC) | 3.25% (if eligible) | ~₹3,250 |
| Gratuity provision | ~4.81% of basic | ~₹1,500–₹3,000 |
| Professional tax (varies by state) | Fixed | ₹200–300 |
- Group health insurance: ₹800–₹2,000/month per employee
- Laptop / equipment: ₹50,000–₹80,000 upfront, amortized
- Software licenses (Slack, GitHub, GSuite, etc.): ₹500–₹2,000/month
- Allocated office space: ₹3,000–₹10,000/month per desk in metros
A Full Worked Example
Hiring a mid-level software engineer at ₹15,00,000 CTC:
| Cost Item | Annual Amount |
|---|---|
| Gross salary (CTC) | ₹15,00,000 |
| Employer PF (12% of basic ~₹6L) | ₹72,000 |
| Gratuity provision | ₹36,000 |
| Group health insurance | ₹24,000 |
| Laptop (₹70K amortized over 3 years) | ₹23,333 |
| Software licenses | ₹18,000 |
| Office overhead (co-working seat, Bangalore) | ₹1,20,000 |
| Recruiting cost (amortized over 2-year tenure) | ₹37,500 |
| Total Real Cost | ₹19,30,833 |
How to Use the Calculator
- Enter offered CTC or gross salary
- Select basic salary percentage (typically 40–50% of gross)
- Toggle applicable benefits (health insurance, remote/office setup)
- Enter equipment cost and expected tenure for amortization
- Get monthly and annual true cost, and loaded cost multiplier
The Remote Hiring Adjustment
Remote employees reduce office overhead but can increase other costs — better home office stipends, stronger laptop allowances, virtual team events. For a truly remote-first hire, the overhead line drops but you might add:
- Home office setup allowance: ₹25,000–₹50,000 (one-time)
- Internet reimbursement: ₹500–₹1,000/month
- Ergonomic equipment: ₹10,000–₹20,000 (one-time)
Net effect: remote hires often save 5–15% on total cost vs office-based equivalents in metro cities.
Contractor vs Permanent Employee
For short-term or specialized work, the math sometimes favors contractors:
| Factor | Permanent Employee | Contractor (via agency) |
|---|---|---|
| Flexibility | Low — notice periods | High — end contract easily |
| Tax / compliance | Employer PF, ESIC | TDS on fees only |
| Benefits | Must provide | Not required |
| Cost premium | 25–35% above salary | 30–60% agency markup |
Does CTC include the employer's PF contribution?
In India, CTC (Cost to Company) typically includes employer PF contributions — it's the total cost from the company's perspective. But many companies present CTC in ways that obscure this. Always clarify: does the quoted CTC include employer PF and gratuity, or is it just gross salary plus variable?
How does gratuity work for a startup?
Gratuity is payable after 5 years of continuous employment at 15 days of salary per year of service. Even if an employee leaves before 5 years, you should provision for it monthly. Some startups ignore this until it becomes a lump sum liability — budget for it from day one.
What's a reasonable budget-per-hire for recruiting costs?
In-house sourcing for mid-level roles: ₹0–₹20,000 in job board fees. Agency/headhunter for senior roles: 8–15% of first-year CTC. An ₹18L hire through a recruiter costs ₹1.4–₹2.7L. Amortize this over the expected tenure (2–3 years) when calculating true monthly employee cost.
